Privacy Policy
Effective October 24, 2026
Gimens is software gyms use to manage their members and post workouts, available on the web at gms.w4n.io and as a mobile app. This policy explains what information Gimens handles, why, and the choices you have. Your gym decides what to record about its members; Gimens stores and processes it on the gym's behalf.
Information we collect
- Account and contact details: your name, email, phone number and, if provided, date of birth, gender and an emergency contact. Usually your gym enters these when you join; you can update most of them yourself.
- Photos: a profile photo if you or your gym adds one, photos gyms post with workouts, and photos you post in comments (taken with your camera or chosen from your library, only when you choose to).
- Membership information: your plans, prices, start and end dates, freezes and cancellations, as recorded by your gym.
- Workout results: the scores you log, whether you did a workout as written or scaled it, and your notes. Public notes and scores are shown to your gym; private notes are visible only to you.
- Reactions and comments: the reactions you give and the comments you post on results (text, GIFs and photos), and reports you make about other members or their comments.
- Sign-in and security information: your sign-in sessions, including the device's IP address and browser or app details, and a record of changes staff make in the gym's account.
- Notifications: if you allow notifications in the app, a token from Apple or Google that lets us send them to your phone. You can turn them off in the app or in your phone's settings.
- Preferences: such as your units (pounds or kilograms) and whether you get notifications.
Gimens does not use advertising, does not track you across other apps or websites, and does not collect your location or your device's contacts.
How we use it
- to run your gym's account: memberships, the member card, workouts and results boards;
- to show your reactions and comments to people at your gym, and to notify you when someone reacts to or comments on your results;
- to sign you in, including emailing you sign-in codes, and to keep accounts secure;
- to send messages your gym chooses to send, such as a welcome email or membership reminders;
- to answer your support requests and keep the service working.
Who can see it
- Your gym's owners and staff see the information they need to run your membership. Other members of your gym see your name (first name and last initial), photo, workout scores and public notes on results boards, and your reactions and comments. Nobody outside your gym sees them.
- Service providers that run Gimens for us, under their own privacy and security terms: Vercel (hosting and file storage), Neon (database), Resend (email delivery), Expo (delivering notifications to your phone through Apple and Google) and GIPHY (searching GIFs: what you type in the GIF search is sent to GIPHY).
- The Gimens operator may access accounts to provide support or fix problems; such access is recorded.
- We may disclose information if required by law.
We do not sell your personal information or share it for advertising.
How long we keep it
We keep your information while you have an account with a gym that uses Gimens. Your gym can keep its membership and billing records as it needs to for its business.
Deleting your account
You can delete your account in the app (tap your photo or initials, then Delete my account) or on the web under Your account. Deleting cancels your current memberships, deletes your workout results, notes and photo, erases your name, contact details and other personal details, and signs you out everywhere. Your reactions, comments (with their photos) and the reports you made are deleted too. Your gym keeps a record that a membership existed and was cancelled, without your personal details. You can also ask us to delete your account by emailing support@w4n.io.
Your choices and rights
You can view and update your details in the app, and ask us for a copy of your information or to correct or delete it by emailing us. Depending on where you live, you may have additional rights under local law; we will honor them.
Children
Gimens is not directed at children under 13, and we do not knowingly collect their information without a parent or guardian's involvement through their gym.
Security
Information is sent over encrypted connections and stored with our providers. Sign-in uses one-time codes rather than passwords, and sessions on the phone are kept in the device's secure storage.
Changes and contact
We will post any changes to this policy here and update the date above. Questions or requests: support@w4n.io.
